Provide administrative support to the Department Head.
Supervise the main office administrative staff.
Participate as a team member of the operations support group focusing on process
improvement to improve department administrative processes and to better support
the department's strategic initiatives.
Major
responsibilities include: Supervision
- Overseeing
the day to day workload of administrative staff in the main office. Mentor and
develop staff to effectively support critical administrative operations.
- Oversee
the hiring process of new administrative staff. Initiate recognition and acknowledgment
processes.
Administrative
Support to Department Head
- Maintain
Department Head's calendar and set appointment requests by faculty, students,
staff and external personnel.
- Draft
written communications for and facilitate verbal communications from and to the
Department Head.
- Coordinate
meetings and visits to the department for the Department Head.
- Process
incoming and outgoing mail.
- Maintain
Department's administrative files (computer and paper) in accordance with department
and university records retention guidelines.
- Facilitate
the promotion and tenure and faculty annual review processes to include establishing
deadlines, assisting faculty in formatting documentation and understanding P&T
and review procedures and guidelines.Provide
administrative support to the Promotion and Tenure Committee.
- Provide
administrative support for departmental (faculty) meetings to include setting
meeting dates and developing and distributing agendas and minutes.
- Provide
administrative support for faculty searches and work with the Human Resource Office
and the University International Office to facilitate employment documentation
for new hires.
- Provide
administrative support to the Department's Awards Committee.
- Oversee
and assist in planning and logistical support for Departmental events such as
the annual tailgate event.
- Serve
on Departmental Committees as appointed.
- Work
with Manager of Departmental Operations on specific projects and serve as backup
to the Manager in her/his absence.
